How we test AI meeting notetakers

An AI meeting notetaker records or captures a call, writes a transcript and turns it into notes: a summary, action items and answers to questions about past meetings. Sales, customer success, recruiting and product teams use them so nobody has to take notes by hand, and so the call can go to a CRM or a shared workspace afterwards. Most join Zoom, Google Meet or Microsoft Teams as a bot; some capture the computer's audio with no bot at all. They differ in how many minutes and how long a meeting each plan allows, how much history the free plan keeps, whether video is recorded, whether your meetings are used to train AI, where data is stored and which plan carries SSO and retention controls.

We compare them on the same six indicators, read from each vendor's pricing, trust, legal, help center and developer pages:

  • Pricing clarity: whether the plan you need has a published price, can be bought online and month to month, whether limits and top-ups are on the pricing page, and whether the pages leave things out or contradict each other.
  • Free plan and trial: a permanent free plan, and how many minutes, how much history, whether it writes AI summaries and how long a meeting it records; otherwise the trial.
  • Price for 5 users: the monthly cost for 5 users on the cheapest plan that transcribes 20 hours a user a month, records meetings of 2 hours or more, covers Zoom, Meet and Teams and keeps a shared team history, billed annually, with the arithmetic shown; 0 when the pages cannot price it.
  • Notetaking features: bot-free capture, AI search across meetings, CRM sync, custom templates, video recording and an API, and on which plan each one sits.
  • Privacy and compliance: the vendor's own SOC 2 Type II, whether your meetings train its AI, a HIPAA agreement, consent features, EU data storage and a published DPA.
  • Admin and data exit: SAML single sign-on, retention settings, an audit log, a bulk export of transcripts, what happens to your data after you cancel, and two-factor sign-in.

How accurate a transcript or summary is depends on the audio, the speakers and the language, so we do not score it. Each review says which pages it was written from and when. Where we have run a product hands-on, the evidence is on its page.
