Bottom line
From its public pages, Fathom has the strongest free plan of the bot notetakers here and the lowest 5-user price among them, $75 a month on Team. Transcripts leave only through copy or the API, and its pages disagree on several plan details.
From its public pages, Granola is the one notetaker here built without a bot or stored audio, with the lowest 5-user price ($70 a month on Business) and self-serve retention settings. It trains on anonymized data unless each user opts out, and SSO needs 50 seats.
From its public pages, tl;dv is the EU-hosted option here, with video on its free plan, no training on your meetings, and CRM mapping and the API on Pro at $18 a seat. Recordings are capped per week (80 a user on Pro), and SSO, retention and the audit log are Enterprise.
From its public pages, Otter covers the three big platforms and AI chat from the free plan, and Business adds unlimited meetings and bulk export at $19.99 a seat. The API, video, retention and HIPAA sit on Enterprise, and data is stored in the US.

Review
Review from public pages
Written from Fathom's public pages (pricing, security or privacy, and docs) as read on Oct 16, 2026. We did not sign up, and no hands-on run is published yet.
What the public pages show
We read Fathom's pricing page with both plan tabs and its comparison table, the trust center and its FAQ, the terms, privacy policy, DPA and BAA, the developer docs and help center articles on plans, recording limits, bot-free capture, consent, retention, SSO, exports and cancellation on Oct 16, 2026; we did not sign up, start a trial or call the API. The pricing page served us US dollar prices; the struck-through figure beside each annual price is the monthly price, not a promotion.
Fathom's limits are short: recordings, transcription and storage are unlimited on every plan, and the only number is the 5 calls a month with advanced summaries on Free. Uploading recorded files is not supported. Bot-free capture is a Mac-only beta, and the iOS app records in person.
Several points need a question to Fathom. The pricing page shows a 90-day guarantee, while the terms say all fees are non-refundable. Custom summaries sit on Enterprise in the table, on the Business card, and on Premium and Team in help. Retention settings are Enterprise on the pricing page and the Pro (Business) plan in the trust FAQ. The pricing page marks a signed BAA on Enterprise, while the terms incorporate a BAA for any customer covered by HIPAA.
Strengths
Unlimited recording and history free
Free records and transcribes without a monthly limit, keeps recordings indefinitely and includes video, summaries and MP4 downloads.
Compared: Otter’s Basic gives 300 minutes and the 25 most recent conversations; tl;dv deletes Free recordings after 3 months.
A team plan at $15 a seat
Team adds the shared workspace, folders, global search and admin settings at $15 a user billed annually; 5 users cost $75 a month (computed).
Compared: Fireflies Business is $95 and Otter Business $99.95 a month for 5 users on annual terms (computed).
API and webhooks on every plan
API keys and webhooks are included on all plans at 60 calls a minute, and the MCP server and Claude and ChatGPT connectors are ticked on Free.
Compared: Otter keeps its API and webhooks on Enterprise.
Consent settings for the team
Team admins can enforce the in-meeting consent message and turn on recording-consent emails for everyone (for bot recordings, only when a meeting has one guest); if an attendee declines, auto-record is turned off for that meeting.
Things to know
No transcript file download
Help says transcripts cannot be downloaded directly, only copied; the API returns them as JSON, 10 results a page, with no bulk endpoint. Recordings download as MP4.
Workaround: The API on every plan can pull all transcripts page by page.
Pages disagree on plan contents
The pricing page, help and trust FAQ place custom summaries, coaching metrics, Ask Fathom on Free, retention and the HIPAA BAA on different plans, and the 90-day guarantee sits beside terms that say fees are non-refundable.
Workaround: Ask Fathom to confirm in writing what your plan includes.
Bot-free capture is a Mac beta
Bot-free recording is in beta on Mac only and does not yet cover Teams; the bot does not join Zoom meetings with over 250 attendees or those that need registration.
SSO and retention through sales
SAML SSO, SCIM and retention settings are Enterprise, sold through sales; no audit log or built-in two-factor sign-in is stated, and data is stored in the US.
Pricing reality
Fathom bills per user per month. For our scenario, 5 users on Team cost 5 × $15 = $75 a month on annual terms ($900 a year), or 5 × $19 = $95 month to month (computed), before tax; Team and Business need at least 2 users, and Free and Premium are for individuals. Business, at $25 a seat ($125 a month for 5, computed), lifts the 3-users-per-domain limit on CRM syncs and adds CRM field sync and coaching metrics. Nothing is metered: no minute or AI credit top-ups are sold. Cancelling a Team plan takes an email to Fathom.
Exit path
Recordings download as MP4 on every plan; transcripts are copied in the app or pulled as JSON through the API, which has no bulk endpoint. After a cancel, an individual account reverts to Free, which keeps recordings indefinitely. The trust FAQ says deleted data leaves backups 7 days later; the terms say up to 30.
You want video of each call and a bot that joins scheduled meetings automatically.
Pick Granola when
You want bot-free capture on Mac and Windows, no stored audio and a $14 plan billed monthly.
Choose it if
You want unlimited recordings, video and history on a free plan.
Your team wants a shared workspace at $15 a seat.
You want the API and webhooks without an upgrade.
Look elsewhere if
You need transcripts as DOCX, PDF or SRT files.
You need EU data storage.
You need SSO or an audit log without an Enterprise contract.
Bottom line
From its public pages, Fathom has the strongest free plan of the bot notetakers here and the lowest 5-user price among them, $75 a month on Team. Transcripts leave only through copy or the API, and its pages disagree on several plan details.

We read the pricing, trust, legal, help center and developer pages of three AI meeting notetakers on the same day and scored them on the same six indicators. What 5 users with 20 hours of meetings a month cost, where video, SSO and retention sit, how each treats your data, and who should pick which.
