How we test online forms and surveys

Online form and survey builders publish forms on the web, collect answers, files and payments from the people who fill them in, and keep the responses for export or send them on to other tools. Marketing teams use them for lead and contact forms, researchers and HR teams for surveys, and operations teams for orders, registrations and intake. They differ in how they bill (a monthly or yearly response allowance, limits on forms and storage, or unlimited use under fair use), in which plan removes the vendor's branding, in what happens when an allowance runs out, and in which plan carries HIPAA, EU data storage or single sign-on.

We compare them on the same six indicators, read from each vendor's pricing, trust, legal, help center and developer pages:

  • Pricing clarity: whether the plan you need has a published price, can be bought online and month to month, whether the pages say what happens at a response limit, and whether they leave prices out or contradict each other.
  • Free plan: how many responses a month a permanent free plan collects, and whether it includes conditional logic and file uploads.
  • Price for 1,000 responses: the monthly cost for one account collecting 1,000 responses a month on forms without the vendor's branding, on the cheapest plan that allows both, billed annually, with the arithmetic shown; 0 when the pages cannot price it.
  • Form and collection features: conditional logic, payments, file uploads, partial responses and forms on your own domain, and on which plan each one sits.
  • Compliance and data residency: the vendor's own SOC 2 Type II and ISO 27001, a HIPAA agreement, and storing responses in the EU.
  • Team, API and data export: SAML single sign-on, an audit log, shared editing, a REST API, webhooks and a self-serve export of your responses.

How fast a form loads or how many people finish it depends on the form and its audience, so we do not score it. Each review says which pages it was written from and when. Where we have run a product hands-on, the evidence is on its page.
